AI Chatbot to Assist Students in Centralized UG Admission Process 2025

New Chatbot to Help UG Applicants Avoid Admission Errors (WBCAP 2025)

A new chatbot feature is set to be introduced on the West Bengal Centralized Undergraduate Admission Portal (WBCAP) this year to assist applicants throughout the admission process. The state’s higher education department has suggested that this AI-powered assistant will soon be launched to provide support, following numerous complaints from applicants last year who struggled to manage multiple colleges and varying subject options. The chatbot is currently awaiting final approval from the department.

The centralized portal, which oversees admissions for approximately 460 undergraduate institutions across the state, has not yet opened for the current application cycle. In preparation, the higher education department has started coordinating with the participating colleges. Principal Manas Kabi of Asutosh College mentioned that they have already submitted the necessary information and documents requested by the department and are now awaiting the official notice to begin the admission process.

Meanwhile, minority institutions such as St. Xavier’s College, Shri Shikshayatan College, and Scottish Church College, which do not participate in the centralized system, have already activated their own admission platforms.

According to a department official, the upcoming chatbot—a digital tool capable of conducting real-time text or voice interactions—will assist students by providing immediate responses to their queries. Previously, the portal featured a Frequently Asked Questions (FAQ) section to support applicants. This year, the chatbot will take on that role, offering instant guidance.

While the portal's overall structure remains similar to last year's version, a few adjustments are planned to enhance usability and ensure a smoother experience for students. One key aim is to minimize errors in application submissions. Last year, officials observed frequent mistakes in student forms, including incorrect personal details and poor subject combinations, which often led to delays in securing preferred courses or institutions.

Despite efforts to simplify the process using animated characters named Ananya and Priya, many applicants still encountered challenges. The department hopes that the introduction of the chatbot will further streamline the process and allow students to complete their applications with minimal external help.
